No doubt more and more meetings are done remotely these days. E-mails are considered as best way of conducting professional meetings, but face to face meetings offer more communication dimensions moreover they help the members of the meetings to understand and interpret what others are saying in a better way, but before planning a meeting there are several things what a planner should keep in his mind :

The purpose and aim of the meeting should be correctly expressed.members should also familiar with the key choices that must be made or activities that must happen at the meeting. The motivation behind a meeting ought to be expressed at the highest point of the meeting agenda.

5. CIRCULATE SUPPORTING INFORMATION IN ADVANCE
Circulating supporting information in advance to the participants is the major step towards a productive meeting however it is necessary to decide how much of the information and what kind of information should be circulate.
Making a room arrangements is the important part of conducting meeting. Room arrangements can make a big difference in how well a meeting goes or doesn't go.
7. ARRANGE FOR RECORDER-
The recorder is in charge of keeping past meetings notes and plans in one spot where they could be referenced later, for example from a notebook or shared network drive, etc.
